Cashew Supplier Onboarding and Evaluation Checklist: A Practical Buyer Toolkit
Buying good cashews starts before a delivery reaches the warehouse. Buyers need to know who supplies the nuts, where they originate, how they are handled, and whether delivery and documentation can be relied upon. When these checks are informal, different suppliers may be assessed inconsistently and important follow-up actions may be missed.
This Mato Cashew resource provides an editable supplier onboarding and evaluation toolkit for cooperatives, buying stations, aggregators, processors and sourcing businesses. It is a practical purchasing and recordkeeping tool, not a cashew processing lesson, certification scheme or legal-compliance guarantee.
Who should use this toolkit?
The checklist is designed for buyers working with individual growers, farmer groups, cooperatives, collectors and commercial suppliers of raw cashew nuts or kernels. Small businesses can use it as a simple first assessment; larger businesses can adapt the fields to their procurement policies and buyer requirements.
For smallholder suppliers, request evidence proportionate to their circumstances. A farm location, contact details, transaction history and cooperative confirmation may be more practical than documents intended for a large registered company.
What to record before approving a supplier
Start with the supplier’s name or code, contact details, sourcing area, product type, approximate supply capacity and the person conducting the assessment. Record the date and supporting evidence. Where possible, link the supplier code to purchase receipts, inspection results and the existing Cashew Lot Traceability and Movement Register.
Use the same five evaluation criteria for each supplier:
| Evaluation criterion | Weight |
|---|---|
| Supplier identity and product origin | 25% |
| Product quality and handling practices | 25% |
| Delivery reliability and recordkeeping | 20% |
| Responsible sourcing practices | 20% |
| Commercial readiness | 10% |
| Total | 100% |
Identity and origin: Can the buyer identify the supplier and reasonably establish the source of the cashews? Note any gaps requiring verification.
Quality and handling: Are the nuts protected from moisture, pests, contamination and unsuitable storage conditions? Supplier assessment does not replace inspection and acceptance testing of each delivered lot.
Delivery and records: Can the supplier provide dependable quantities and basic records such as delivery receipts, lot references and transaction dates?
Responsible sourcing: Are there credible concerns about worker safety, labour conditions or environmental practices? Serious unresolved concerns require investigation, regardless of the numerical score.
Commercial readiness: Are expected quantities, prices, payment terms, communication channels and dispute-handling arrangements clear?
How to score an assessment
For each criterion, assign a score of 0, 1 or 2:
- 0 — Insufficient: Evidence is missing or the criterion is not met.
- 1 — Partial: Some evidence exists, but improvements or verification are needed.
- 2 — Satisfactory: Available evidence reasonably supports the criterion.
Calculate each weighted result as (criterion score ÷ 2) × criterion weight. The editable Excel workbook is designed to help record the assessment and calculate a weighted result.
| Total score | Suggested internal decision |
|---|---|
| 80–100 | Approve, subject to checks for serious risks |
| 60–79 | Conditional approval with documented actions |
| Below 60 | Do not approve yet; address gaps |
| Serious unresolved risk | Hold approval and investigate |
These thresholds are illustrative internal guidance, not official certification or regulatory thresholds. A high score must never override serious unresolved food-safety, labour or environmental concerns. Management remains responsible for the final decision.
Follow up after onboarding
Approval is the beginning of supplier management, not the end. Keep a supplier register and review delivery quality, timeliness, documentation and complaints. If corrective action is needed, record the issue, responsible person, due date and evidence of closure. Reassess suppliers when material changes or repeated problems occur.
For incoming-lot moisture, defects and acceptance checks, use Mato Cashew’s Raw Cashew Nut Quality Inspection Checklist. For batch movements and traceability, use the Cashew Lot Traceability and Movement Register. This toolkit focuses specifically on supplier selection and performance, avoiding duplication of those records.
